Terms and conditions
What you’re buying when you book a seat, how refunds work, and the small number of rules that keep a dinner for ten pleasant for everyone.
Last updated 5 November 2026.
1. Who we are
AI Supper Club is a trading name of Solve With Software Ltd, a company registered in England and Wales under number 08200237. Our registered office is North Colchester Business Centre, 340 The Crescent, Colchester, Essex CO4 9AD. When these terms say “we”, “us” or “the club”, they mean Solve With Software Ltd.
The dinners are hosted by Marc Allington. The food is cooked and served by the restaurant named on each dinner page. The restaurant is a separate business and is not part of Solve With Software Ltd.
You can reach us at hello@aisupperclub.co.uk.
2. These terms
These terms apply to the website at https://aisupperclub.co.uk and to every seat booked through it. By booking a seat or joining a waitlist you agree to them. If you don’t agree, please don’t book.
The version of these terms that applies to your booking is the one published on the day you booked. If we change the terms later, the change applies to bookings made after the new version is published. The date of the current version is at the top of this page.
Nothing in these terms affects your rights as a consumer under the law of England and Wales, including the Consumer Rights Act 2015.
3. What you’re buying
A seat buys you:
- a place at one table at the restaurant, on the date and at the time shown on the dinner page;
- the set menu shown on the dinner page, with the course choices you make when you book;
- a host who runs the table and makes the introductions.
A seat does not include:
- drinks, or anything else you order beyond the set menu. You pay the restaurant for those on the night, at the restaurant’s prices;
- service charge on drinks or extras, if the restaurant adds one;
- travel, parking or anything else outside the restaurant.
The price shown on the dinner page is the full price of the seat in pounds sterling. It includes VAT where VAT applies. There is no booking fee.
The menu on the dinner page is what the restaurant has agreed to serve. It may change a little if an ingredient is unavailable. If a course you chose changes, the restaurant will offer you an alternative on the night. A small change of this kind is not a reason for a refund.
4. Booking and payment
You book by filling in the form on the dinner page and paying by card through Stripe, our payment provider. We never see or store your card number. Payment is taken in full when you book.
When you submit the form we hold a seat for you for 30 minutes while you pay. If you don’t complete payment in that time, the hold is released and the seat goes back on sale. Nothing is charged.
Your booking is confirmed, and the contract between us is made, when your payment succeeds. We’ll send a confirmation email to the address you gave with the date, the venue, your course choices and a link to manage the booking. If you don’t get it within an hour, check your spam folder and then email us.
One booking is for one seat. Each person at the table books in their own name with their own email address, so that we have everyone’s course choices and dietary needs. If you want to come with a friend, they book their own seat. One person can’t hold two seats at the same dinner.
You must be 18 or over to book. The restaurants we use serve alcohol and the dinners are for adults.
You’re responsible for the accuracy of the details you give us. If your email address is wrong, we can’t send you the confirmation, the reminders or the link to cancel.
5. The waitlist
When a dinner is full you can join the waitlist. No payment is taken and no seat is promised. If a seat frees up, we email the next person on the list a payment link that holds the seat for 48 hours. If they don’t pay in that time, the seat is offered to the next person. Joining the waitlist costs nothing and you can ask us to remove you at any time.
6. Cancelling your seat and refunds
Dinners are small and the restaurant plans around a fixed number of covers. A set number of days before the dinner, usually 7, we send the restaurant final numbers and course choices, and from then on we pay for every seat whether or not someone sits in it. The refund rule follows from that. Each dinner has its own cut-off, because restaurants differ in how much notice they need. The dinner page states it before you book, and your confirmation email gives the exact date.
Cancel before the cut-off: full refund
Use the “manage your booking” link in your confirmation email and press “Cancel my seat”, or email us. We refund the full seat price to the card you paid with. The cut-off is the same time of day as the dinner, the dinner’s refund window earlier. For a dinner with the usual 7-day window, that is 7 days before it starts.
Cancel after the cut-off: no refund
Once final numbers have gone to the restaurant we can’t get the cost of your seat back, so we can’t refund it. This applies however good the reason, including illness, work and travel problems, because the cost to us is the same. We’re sorry about that. Two things you can do instead:
- Send someone in your place. Email us the name, email address and any dietary needs of the person taking your seat. We’ll update the booking. If the restaurant can still change the course choices, we’ll pass the new ones on.
- Ask about the waitlist. If there’s a waitlist for the dinner and someone on it takes your seat and pays for it, we’ll refund you. We can’t promise this will happen.
How refunds are paid
Refunds go back to the card you paid with, through Stripe. We issue them straight away and we cover the card processing fee, so you get back the full amount you paid. Banks usually take 5 to 10 working days to show the money in your account. We can’t refund to a different card or by bank transfer.
No refund for not turning up
If you don’t come, arrive after the kitchen has stopped serving, or leave early, the seat has still been paid for and there’s no refund.
The 14-day cooling-off period doesn’t apply
Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, the usual 14-day right to cancel an online purchase does not apply to catering or leisure services supplied on a specific date. A seat at a dinner on a fixed date is exactly that, so the refund rule above is the one that applies, not the 14-day rule.
Moving to another dinner
If you can’t make the date you booked but can make another, email us. If the other dinner has a seat free and we haven’t yet sent the restaurant final numbers for the dinner you’re leaving, we’ll usually move you at no charge. Inside the dinner’s refund window it depends on whether we can fill your original seat. Moves are at our discretion and aren’t a right.
Reselling
Please don’t sell your seat or advertise it for sale. If you can’t come, use one of the options above.
7. If we cancel or change a dinner
Occasionally we have to cancel: too few seats sold to run the table, the restaurant has a problem, the host is ill. If we cancel a dinner we refund every confirmed guest in full, automatically, to the card they paid with, and email everyone to say so. You don’t need to do anything.
If we have to make a significant change to a dinner you’ve booked, such as a different date, a different restaurant or a different set menu, we’ll email you as soon as we know. You can then keep your seat or cancel for a full refund, whichever you prefer, as long as you tell us before the dinner takes place. A change of host, a small change to the menu or a change of start time of less than an hour is not a significant change.
Beyond refunding the seat price, we aren’t responsible for other costs you incur because a dinner is cancelled or changed, such as travel, accommodation or time off work.
8. Dietary needs and allergies
Tell us about allergies, intolerances and dietary requirements in the booking form. We pass them to the restaurant with the final numbers, and the restaurant prepares your food. We don’t cook and we can’t guarantee that any dish is free of a particular allergen. Please also tell the restaurant staff about any allergy when you arrive, as you would at any restaurant.
If the set menu can’t be adapted to your needs, tell us as soon as you can and in any case before the dinner’s refund cut-off. If we and the restaurant can’t find something suitable for you, we’ll refund your seat in full even if the cut-off has passed, provided you told us before it.
9. On the night
- Arrive on time. The table orders together, and the kitchen can’t hold a course back for a late arrival.
- Pay the restaurant directly for drinks and anything beyond the set menu before you leave.
- You’re a guest of the restaurant as well as of the club, so the restaurant’s own rules apply.
- Be decent to the other people at the table and to the staff. The dinners are for conversation, not for pitching. If you’re abusive, discriminatory or disruptive, the host can ask you to leave and no refund is due.
- Look after your own belongings. Neither we nor the restaurant are responsible for anything lost or damaged unless it’s our fault.
10. Photos
We sometimes take a photo or two at a dinner to show on the website and on social media. The host will say so on the night and ask before taking any. If you’d rather not be in them, tell the host and you won’t be. If a photo of you is already on the site and you want it taken down, email us and we’ll remove it.
11. Your details and our emails
How we look after the information you give us is set out in our privacy policy. In short: we use it to run the dinner you booked, we share your name, course choices and dietary needs with the restaurant, and we don’t sell it to anyone.
When you book you’ll receive emails about that booking: a confirmation, a reminder on the last day you can cancel for a refund, and a reminder the day before. These are part of the service and can’t be switched off while you hold a seat. We may also email you when future dinners go on sale. Every one of those has an unsubscribe link.
12. Using the website
The text, photographs, logo and design of this website belong to us or to the people who have licensed them to us. You’re welcome to link to any page and to share dinner listings. Please don’t copy the site, scrape it, try to break it, use it to send unsolicited messages, or book seats with false details.
The site links to other websites, including restaurant websites and maps. We don’t control those sites and aren’t responsible for what’s on them.
We try to keep the site accurate, but if a price or date is shown wrongly by an obvious mistake we may cancel a booking made at the wrong price and refund you in full rather than honour it.
13. Our responsibility to you
If we fail to do what these terms say, we’re responsible for loss or damage you suffer that is a foreseeable result of our breaking the contract or of our not using reasonable care and skill. We aren’t responsible for loss that wasn’t foreseeable when you booked.
The restaurant is responsible for the food, the service and the premises, in the same way as when you eat there without us. If something goes wrong with your meal, please tell the host and the restaurant on the night, and we’ll do what we can to help put it right.
We don’t supply the dinners for business purposes and we have no liability to you for loss of profit, loss of business, business interruption or loss of business opportunity.
Apart from the exceptions in the next paragraph, our total liability to you in connection with a booking is limited to the price you paid for the seat.
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else where the law doesn’t let us limit or exclude liability. Nothing in these terms takes away your statutory rights as a consumer.
14. Events outside our control
If something outside our reasonable control stops a dinner going ahead, such as severe weather, a power cut at the restaurant, industrial action, a public health restriction or the restaurant closing, we’ll tell you as soon as we can and refund your seat in full. That is the extent of our responsibility in those circumstances.
15. Complaints and getting in touch
If something isn’t right, email hello@aisupperclub.co.uk and we’ll reply within a few working days. We’d much rather hear about a problem and fix it than have you not come back.
If we can’t sort it out between us, you can take the matter to the courts. These terms and any dispute about them are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If you live in Scotland or Northern Ireland you can also bring proceedings in your local courts.
16. Other things
- If a court finds part of these terms unenforceable, the rest still applies.
- If we don’t insist on something straight away, we can still insist on it later.
- Your booking is personal to you. You can transfer your seat to someone else only as set out in section 6. We may transfer our rights and obligations under these terms to another organisation, and we’ll tell you if we do. It won’t affect your rights.
- The contract is between you and us. No one else has any rights under it.
